The arrival of the internet era has transformed how business professionals define meetings. A few years ago, remote meetings were conducted using video conferencing equipment in meeting rooms. In recent years, however, this has evolved into using cloud services and smart devices as tools for remote conferencing.
In order to save travel and construction costs, many small and medium-sized enterprises have begun to adopt cloud services. Most corporate branches are located in major cities in northern, central and southern Taiwan and mainland China, while foreign companies may be located in major cities around the world; many companies also use mobile offices as a solution, using personal computers or mobile phones and tablets as meeting tools. Cloud services require payment to obtain device usage accounts, and you need to consider how many devices you want to connect to the virtual conference room for meetings. Most cloud services can support up to 25 devices for meetings, but different devices may charge additional fees. For example, older video conferencing equipment may have additional charges. Therefore, before planning to introduce video conferencing cloud services, you must first understand which devices will be used for the meeting, as well as the local network environment and conference room structure.
Whether the meeting room has basic audio systems and display equipment is essential for creating a comfortable meeting environment. High-resolution displays, along with microphones and speakers that are suitable for the size of the room, will significantly impact the quality of the meeting. Ensuring these components are properly selected and integrated will help provide clear visuals and sound, improving the overall experience for all participants.
For large meeting rooms (15 or more people):
- Hardware-based video conferencing equipment
- Sound system (table microphone system + mixer + amplifier + speaker)
- Display device (projector or LCD TV)
Small to medium-sized meeting rooms (10 people or fewer):
- Computer
- Bluetooth or USB receiver and player
- Camera
Mobile office (3 people or fewer):
- Laptop/Mobile Phone/Tablet
- Bluetooth/USB audio/earphones
(Mobile offices need to consider cameras and audio and video equipment or wear headphones, preferably with noise reduction and echo cancellation functions)
